You only get one attempt at your first impression, and this is more than true when it comes to events too.
With hundreds of things to do and think about when organising an event, the experience you provide attendees when they arrive is often overlooked. This however is a crucial part as it sets the tone and affects their mood for the whole event.
Don’t make them wait in line
First things first, queues don’t give off the best impression when you arrive at an event. Paper sign-in sheets and similar registration techniques should now be a thing of the past if you are looking to provide your attendees with a swift entry.
There are many check-in apps now on the market which run on a tablet or even smartphone, transforming the check-in process. These apps can be ran allowing people to check themselves in by entering their name or registration number.
If you want staffed persons for the event, simply ask for their name – the rest can be done on the pre-registration online. Make the check-in as simple as possible.
Clear floor plans
This may seem basic, but an effective floorplan can mean everything to attendees who require easy navigation, convenience and accessibility. The traffic flow should run from the registration area to the main hall with restroom, meeting rooms and help points clearly marked and labelled. A signage plan should support the floor plan with simple directions and instructions.
Prepare for the unexpected
In today’s world, people expect technology to be there ready for use, whatever the time. They want operating wi-fi, tablets and printers. Testing your equipment beforehand is a must for every event, back-up equipment is also recommended should anything go wrong.
Of course there are always people who forget to register in advance, or someone who’s come in place of a colleague. A station/area for such persons is recommended, where staff can help them fill in details. If it is a paid-for event, having a payment device ready is also necessary.
