Five ways to find the right venue for your conference, technically speaking

Do you go for the gorgeous location, swanky rooms or great night life? Not as glamorous by far but the most important element should be your meeting room. Factors to consider are:

  • How big is it? Whether it’s pint-sized or king-sized, the stated maximum occupancy will be a squeeze and if you hit that limit, you won’t have room to spin a cat.
  • How high are the ceilings? Something frequently overlooked – hotel ceilings can sometimes be just above head height so you can consign to oblivion any staging or tall display systems.
  • Is that a pillar in the middle of the room? Look out for any structural objects obscuring the view.
  • Part of your space may be an access to another area (sounds absurd but it happens) so you may need to screen it off.
  • The venue may hire out it’s own AV equipment but bear in mind it might lack a bit of lustre and could ruin your event if it doesn’t perform.

Even professional venue finders may let these considerations fall between the cracks so make sure you check them out.
